Reed is currently recruiting on behalf of a well-established company based in Abingdon for an Executive Assistant to provide critical administrative support to 9 members of the Senior Leadership Team (SLT) and, whilst ensuring the office remains a functional, professional environment. Reporting directly to the Chief Executive Officer, this position is pivotal in maintaining the company's standards and efficiency.
Day-to-day of the role:
Administrative Support:
- Manage schedules, coordinate meetings, and organise travel arrangements for the SLT.
- Prepare reports, presentations, and correspondence with precision and professionalism.
- Handle sensitive and confidential tasks with discretion.
Meeting & Event Coordination:
- Organise meetings, draft agendas, take minutes, and ensure follow-up actions are tracked and completed.
- Assist in the planning and execution of special projects or ad hoc events.
Office Operations:
- Serve as the first point of contact for office-related enquiries and welcome visitors to Head Office.
- Support Heads of Department to maintain a functional, professional work environment compliant with health, safety, and security protocols.
Collaboration & Project Support:
- Work closely with internal teams and external partners to support cross-departmental projects and initiatives.
- Adapt to evolving priorities, taking on additional responsibilities as required.
Required Skills & Qualifications:
- Proven experience as a Personal Assistant or Executive Assistant.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams).
- Exceptional organisational and multitasking abilities, with a demonstrated ability to prioritise effectively.
- Excellent written and verbal communication skills.
- Strong problem-solving skills, with the ability to remain calm under pressure.
- A high level of accuracy, confidentiality, and discretion in handling sensitive information.
