Your new companyHays are partnering with The NI Assembly to recruit for a temporary Visitor Experience Supervisor, to assist in leadership, operation and development of the team responsible for provision of high-quality visitor experience and services in Parliament Buildings.

Your new role

  • A standard working week is 37 hours over 5 days (Monday to Saturday), scheduled between 8:00am and 6:00pm. Work hours depend on the Northern Ireland Assembly's operations, including late evenings and public holidays on occasion. Additional hours may be required for duty performance. The Assembly Commission will give at least 10 working days' notice of weekly work patterns and 3 working days' notice for overtime.
  • Welcome visitors to Parliament Buildings, provide information, assist appropriately, and manage specific access requirements.
  • Assist the Visitor Experience Manager with daily management of the team, deputise as needed, and solve problems as they arise.
  • Lead and train Visitor Experience Officers, ensuring high-quality service and adherence to Assembly Commission values, skills, behaviours, policies, and procedures.
  • Oversee reception, ensure adequate staff cover, solve issues, and provide reception cover if required.
  • Assist in managing events at Parliament Buildings, act as a key contact for event organisers, allocate duties, solve problems, and provide timely information to organisers and members.
  • Maintain effective relationships with key stakeholders, including members, managers, event organisers, and the public.
  • Attend meetings, take minutes, capture actions/notes, and follow up on actions to ensure timely delivery.
  • Provide guidance and assistance on policy and procedural issues related to the Visitor Experience business area.
  • Research and prepare accurate and timely information.
  • Use Microsoft Office and bespoke internal Assembly software systems and databases effectively.
  • Monitoring spends against budget and report to line managers or budget holders.

What you'll need to succeedAt least a primary degree, minimum 2.2 classification, in any subject. Applications will be considered from applicants with formal qualifications of an equivalent or higher standard.AND - At least two years' experience listed below:OR - Four years' experience in each of the following:

  • Working in a dynamic and busy customer-facing role at supervisory level.
  • Leading, motivating and developing staff including on-boarding; training and development; and performance management.
  • Communicating accurately and clearly (both in writing and orally) complex or detailed information to stakeholders such as colleagues, managers, customers or members of the public.
  • Effectively using Microsoft Office to manage information, create documents and assist in providing a quality service to stakeholders such as colleagues, managers, customers or members of the public.
