Your New CompanyHays are partnering with a public sector organisation to recruit a temporary full-time Members Services Administrator including 2 days as PA to the Mayor to provide a dedicated comprehensive, confidential administrative, clerical and secretarial service to the Mayor and Deputy Mayor. Your New Role As Members Service Administrator:

  • Provide general administrative support across office departments.
  • Maintain logs and produce weekly monitoring reports.
  • Process incoming mail and secure cheques/cash for Finance and Governance.
  • Assist with cost analysis of conference and event expenditures.
  • Organise civic/ceremonial functions and departmental events.
  • Contribute to the Department Business Plan and Service Plans.

As PA to the Mayor:

  • Provide comprehensive administrative, clerical, and secretarial support to the Mayor and Deputy Mayor.
  • Manage the Mayor's Office diary, including appointments, receptions, and travel arrangements.
  • Handle financial processing, record-keeping, and budget monitoring for the Mayor's Office.
  • Collaborate with the Council's Communications Team for press coverage and website updates.
  • Maintain and update the Mayor's Office filing system.

What You'll Need to Succeed

  • Minimum of 2 A Levels (Grade A - C)
  • Two years' relevant administrative experience as a PA to a Senior Manager
  • Two years' experience in successful diary management, dealing with correspondence and drafting quality written responses, working with a wide range of stakeholders and the ability to work in a political environment
  • Qualification demonstrating competency in working with office technology (e.g. word processing or typewriting)
  • Competent in use of Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Full current driving licence valid in the UK and access to a vehicle
