Events and Commercial Officer - Remote (must be home based in Hampshire)

We're looking for a motivated individual who is highly organised with a passion for providing outstanding customer service. This role offers a unique opportunity to contribute to a wide range of exciting projects, from conceptualizing and executing innovative events to day-to-day duties supporting the Executive Director.

  • This role is home based with a requirement for attendance at events, staff meetings and requires the occasional overnight stay.
  • 9.00am - 5.00pm (full time, permanent, working 35 hours per week)
  • £30,000 - £35,000 per annum depending on skills and experience
  • 25 days - rising by one day per year of service to 30 days
  • 10% Employer Contribution (Employee salary sacrifice scheme also available)

Role responsibilities:

Event Planning

  • Reporting to the Executive Director (ED)
  • Act as a key administrator in support of the association’s events and commercial activities
  • Provide registration links for webinar attendees via email reminders
  • Provide information to the membership following each webinar, course or annual conference regarding availability of post-event resources
  • Support the delivery of the annual marketing and communications plan for conferences and events
  • Support the Commercial and Business Manager to test all event and annual conference materials prior to deployment to live sites
  • Provide high quality administrative support to deliver events, both online and face-to-face
  • Administer the delegate booking process for webinars, conferences and e-learning courses utilising the website and database systems
  • Deal with delegate enquiries relating to events, including the annual conference demonstrating a high level of customer service
  • Maintain data and produce reports from the database
  • Prepare, update and distribute all delegate materials regarding events, including joining information, event badging, programmes, etc.
  • Assist the Executive Director (ED) in organising venues for events
  • In conjunction with the ED, assist in the provision of statistical analysis and data for the purposes of budget preparation

Event Delivery

  • Attend events as and when required to assist with administration including

whenever possible and practicable, all events and the annual conference

  • In conjunction with the ED and Commercial and Business Manager, liaise and provide information to event venues, including attendee numbers, timings, hotel rooming lists, dietary requirements etc. to ensure the smooth running of the event
  • Work closely with the Commercial and Business Manager and Training and Events Officer to gather data for inclusion in the event app
  • Support the Commercial team with exhibitions at events

Other Aspects

  • Provide administrative support to the ED and Commercial and Business Manager
  • Liaise with the finance team regarding payments received and update the database accordingly
  • Liaise with the membership team regarding course refunds/credit notes
  • Process occasional credit card payments if required
  • Undertake such other tasks as the Executive Director (as line manager) reasonably requests
  • Financial administration, including:
  • Assist in dealing with general enquiries received into the office email account
  • Support with governance administration as and when required
  • Ensure own personal professional development is kept up to date
