As a dedicated Scheduling & Operations Coordinator you will be responsible for uploading, coordinating, scheduling, and managing site works for various projects. This role involves planning daily operations, booking resources, and ensuring that site activities are efficiently organised to meet project requirements and timescales. The ideal candidate will have strong communication skills, attention to detail, organised with the ability to work effectively in a fast-paced, busy environment.

Main Duties:

  • Creating projects on the inhouse system, ensuring all information is uploaded and accounted for
  • Schedule and coordinate all site works, including the booking Engineering Technicians, materials, and subcontractors, to ensure projects run smoothly.
  • Develop and maintain a detailed schedule of site operations, updating it regularly to reflect changes in project timelines or requirements
  • Communicate with project engineers, site supervisors, subcontractors, and other stakeholders to confirm work schedules and associated documentation is available
  • Liaise with clients to confirm site access, special requirements, and other relevant details to ensure a seamless operation
  • Monitor progress on site works and adjust schedules as needed to accommodate delays or changes in project scope
  • Collaborate with project engineers, and other stakeholders to allocate resources effectively and optimise workforce utilisation
  • Maintain accurate records of scheduled works, changes, and completed tasks in the company’s scheduling system
  • Assist in the planning and forecasting of resource needs to support upcoming projects
  • Ensure all site works are booked in compliance with health and safety regulations and company policies
  • Managing Health & Safety application and accreditation forms.
  • Conducting annual checks on subcontractor Health & Safety standards, qualifications and assessment forms
  • Managing risks assessment in support of the engineers and Directors
  • Responsible for recording of any accidents/near misses and updating health and safety accident book
  • Maintenance and upkeep of office equipment, PAT testing, fire extinguishers etc
  • Manage inventory of tools, equipment, and materials, ensuring that onsite technicians have the necessary resources to perform their tasks
  • Ordering and maintaining stock materials for projects
  • Fleet management of all vehicles - ensuring regular maintenance checks are carried out and servicing schedules adhered to
  • Provide administrative support to the sales and operations team as required
  • The role will be subject to monthly and quarterly KPI’s.

Knowledge and Experience:

  • GCSE’s (or equivalent) in English
  • Proven administration experience in a fast-paced environment
  • Experience multi-tasking and balancing multiple requests simultaneously
  • Proficient in the use of Microsoft Office Suite.

  • Strong organizational skills and attention to detail
  • Excellent communication skills, both written and verbal
  • Problem-solving skills and the ability to adapt to changes quickly.
