The ideal candidate will play a key role in ensuring the smooth running of the office, offering excellent administrative support, managing office resources, and overseeing office operations to ensure an efficient and effective working environment. You will work closely with senior management, legal teams, and other departments to help maintain the high standards of service that the firm is known for.Key Responsibilities:

  • Manage day-to-day office operations, ensuring a seamless and efficient work environment.
  • Oversee the administration and maintenance of office systems, including document management, office supplies, and equipment.
  • Coordinate and manage office-related services such as IT support, catering, and building maintenance.
  • Handle HR-related tasks such as managing employee leave records, updating personnel files, and assisting with recruitment activities.
  • Liaise with external vendors, service providers, and suppliers to ensure smooth operations.
  • Manage office budgets, tracking expenses and preparing financial reports for senior management.
  • Provide administrative support to lawyers and legal staff, including assisting with meeting coordination, scheduling, and document preparation.
  • Maintain filing systems, ensuring confidentiality and compliance with data protection regulations.
  • Support with health & safety management, ensuring compliance with all relevant regulations.
  • Act as the main point of contact for any office-related issues or queries from staff.

Key Skills and Qualifications:

  • Proven experience in an office management role, ideally within a professional services or legal environment.
  • Excellent organizational and multitasking skills with a keen attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and manage a variety of tasks and responsibilities.
  • Knowledge of office management software and basic HR systems.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Understanding of data protection, confidentiality, and health & safety regulations.
  • Experience in managing office budgets and handling financial administrative duties.
  • Friendly, professional, and approachable demeanor with the ability to interact with clients, staff, and vendors.

Desirable:

  • Experience working in a law firm or professional services firm.
  • Knowledge of legal terminology and processes.
  • Experience in using legal practice management software.
