You will work closely with senior management, legal teams, and other departments to help maintain the high standards of service that the firm is known for.Key Responsibilities:
- Manage day-to-day office operations, ensuring a seamless and efficient work environment.
- Oversee the administration and maintenance of office systems, including document management, office supplies, and equipment.
- Coordinate and manage office-related services such as IT support, catering, and building maintenance.
- Handle HR-related tasks such as managing employee leave records, updating personnel files, and assisting with recruitment activities.
- Liaise with external vendors, service providers, and suppliers to ensure smooth operations.
- Manage office budgets, tracking expenses and preparing financial reports for senior management.
- Provide administrative support to lawyers and legal staff, including assisting with meeting coordination, scheduling, and document preparation.
- Maintain filing systems, ensuring confidentiality and compliance with data protection regulations.
- Support with health & safety management, ensuring compliance with all relevant regulations.
- Act as the main point of contact for any office-related issues or queries from staff.
Key Skills and Qualifications:
- Proven experience in an office management role, ideally within a professional services or legal environment.
- Excellent organizational and multitasking skills with a keen attention to detail.
- Strong communication skills, both written and verbal.
- Ability to work independently and manage a variety of tasks and responsibilities.
- Knowledge of office management software and basic HR systems.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Understanding of data protection, confidentiality, and health & safety regulations.
- Experience in managing office budgets and handling financial administrative duties.
- Friendly, professional, and approachable demeanor with the ability to interact with clients, staff, and vendors.
Desirable:
