Administrator
OA are recruiting for an Administrator to join our clientās highly successful and growing team.
You will be responsible for assisting two Account Managers with general administration in relation to the organisation of events, ranging from music festivals, large crew catering events and TV shoots.
We are looking for an organised team player who can continuously meet expectations, with an ability to communicate effectively with a diverse range of people. You will develop a āright first-time cultureā, ensuring maximum customer satisfaction through the service provided.
Location:Ā Aston Clinton
Hours: Office-based, Monday to Friday, 9 AM - 5 PM. Flexible working also available between 7 AM and 7 PM. After completing a successful six-month probation period, you can work from home up to two days per month.
Salary: Ā£23,800

Administrator Key Responsibilities:
- Working with Account Managers to organise all stages of events to enable the delivery of excellence in customer service.
- Assisting in the preparation of quotations.
- File creation for quotations.
- Proactively taking internal and external calls.
- Assisting in the costings of dressing room requirements and orders.
- Responding to emails internally and externally.
- Creating crew material including laminate signs, menu cards, meal tickets, etc.
- Setting up each event on our H&S app.
- Booking trucks and transport for equipment transfer.
- Purchasing items for events, including the purchase of alcohol.
- Organising appointments, meetings, site visits etc.
- Booking accommodation for crew and managers.
- Booking travel e.g. flights, trains and car hire.
- Managing external extras for events.
- Accompanying colleagues on site visits when required.
- General administrative work including laminating, binding and filing.
- General office housekeeping.
- Using SAP to produce invoices
- Ad-hoc duties such as shopping (either online or travelling off-site), pulling small equipment from our warehouse if needed.
- Any other reasonable related duties as required.
Administrator Skills and Experience:
- Intellectually robust with a good standard of education with at least 5 C/GCSEās or equivalent.
- Computer literature with a working knowledge of Microsoft Office. Maintaining electronic and manual filing systems
- Working as part of a team and on own initiative.
- Full clean UK Driving Licence.
- Strong customer focus and able to demonstrate the highest regard to delivering excellence in customer service
- Ability to demonstrate a methodical, organised and flexible approach to work. Excellent administrative, organisational and time management skills with the ability to manage varying workloads and prioritise tasks accordingly.
- Strong interpersonal communication skills both verbal and written.
- Enthusiastic self-starter, independent thinker with a can do, enthusiastic, positive attitude who is dedicated to their job.
- Practical problem-solving skills with a āhands onā approach to resolution.
- Experience in a similar role is desirable but not essential.
- Practical experience of working in a busy office.
