Personal Assistant to Chairman, Executive Assistant, Executive PA, Private Household,
Fabulous opportunity to work within a private household of a high profile couple who have a number of business interests and charity workfor an experienced PersonalAssistant to support the business and private activities of the family. Delivering administrative and managerial support the Personal Assistant will be an effective, flexible team member alongside other PAs and the household team.
This role involves intimate access to the private home and lives of the family. The need for high integrity and complete trust cannot be overstated as an essential personal attribute and personal value of the candidate.
Core Duties include:
- First point of contact for general communications forboth internal and external stakeholders
- Provide a professional administrative service, accepting and making calls, taking messages, transferring calls, handling incoming/outgoing mail, email correspondence, and drafting letters on behalf of the high profile couple
- Organise and administer meetings including preparing meeting packs and agendas, taking and distributing meeting minutes, booking meeting rooms and arranging refreshments
- First point of contact relating to non-work matters
- Liaise closely with couplesPA on diary management
- First point of contact regarding access to the private side and associated matters for the couple
- Book and plan travel and holiday arrangements for the couple, their family and occasionally their friends. This will at times include researching and booking entertainment and experiences
- Liaise with charities and organisations with which the couple areinvolved, including arranging visits as required
- Liaise with all private guests to the stately homes; to oversee the travel details, arrivals and departure details
- Produce menus and house sheets, in liaison with the House Manager
- Help ensure excellent communications between family, household team and any other relevant departments
- Liaise with the House Manager on all matters relating to the house occupancy and family plans
The Requirement:
- A natural professionalism and discretion recognising the need for confidentiality at all times
- A proactive, solution-orientated mind-set with the ability to anticipate needs
- Excellent verbal and written communication skills
- Demonstrable and proven experience as a personal assistant for senior leadership, with office management experience
- Able to handle multiple tasks with precision and detail
- Able to work independently and self-manage whilst working together as part of a busy team
- A high degree of personal flexibility
- Strong knowledge of all Microsoft applications including Outlook, PowerPoint and Excel
- Excellent standards of personal presentation
- A full and valid UK driving licence
- A clear enhanced DBS check is required to be undertaken.
