We are looking for a Project Administrator to join our dynamic team. In this role, you will be at the heart of our projects, working alongside the Project Manager, Account Manager, and Buyers to ensure everything runs like clockwork. If you enjoy taking the initiative, being the go-to person for all things organisational, and keeping everything on track, this could be your perfect fit!

Key Accountabilities

  1. Create, update, and maintain spreadsheets, reports, and internal documentation systems.
  2. Raise and revise orders using the internal OMS system (The Hub).
  3. Coordinate services as directed by the Team Buyer and Project Manager, including liaising with installers, store staff, and logistics partners.
  4. Produce delivery notes, commercial invoices, carton labels, and barcode labels using the appropriate software.
  5. Serve as the expert on client online systems, supporting the team with system queries.
  6. Process job close requests, cost transfers, billing, and purchase orders.
  7. Maintain team meeting minutes, internal project logs and ensure all project documentation is accurate and up to date.
  8. Manage stock levels and process order confirmations, delivery notes, and commercial invoices as required.

Skills, Experience and Qualifications

  • Proficiency in IT packages including Microsoft Office, Outlook, and Teams
  • Exceptional attention to detail and accuracy in handling documents and materials
  • Self-motivated and proactive, able to anticipate and complete tasks without needing detailed instructions
  • Excellent time management, ensuring daily work is completed on time
  • Strong multi-tasking skills with the ability to work across multiple teams and manage several project details simultaneously
