Receptionist/Administrator

We are seeking a dedicated Receptionist/Administrator to provide high-quality customer service and complex administrative support to your local council. This role is ideal for someone who excels in a people-focused environment, ensuring a warm welcome for all families and professionals, both face-to-face and via telephone.
Day-to-day of the role:
- Greet and welcome all council visitors in a positive, respectful, and responsive manner.
- Provide high-quality, customer-focused reception services for all visitors and handle enquiries via telephone and email.
- Work as part of a multi-agency team to provide clerical and administrative support.
- Manage procurement processes within policies and procedures, maintaining accurate records of orders, purchases, deliveries, and payments.
- Prepare invoices, ensure payments are reconciled, and monies are regularly banked.
- Manage and monitor petty cash in line with financial regulations.
- Facilitate meetings, including the production of accurate minutes, preparation of agendas, and other required documentation.
- Handle meeting room bookings, preparation, and clearance, ensuring room security.
- Sort and distribute incoming and outgoing post, maintaining appropriate records.
- Monitor and maintain stock levels and manage filing systems both manually and electronically.
- Perform data entry, including personal data on electronic systems, ensuring timely updates.
- Assist in managing weekly staff absence returns and updating staff flexi-time/TOIL records in accordance with policies.
Required Skills & Qualifications:
- Proven experience in a customer service role, handling face-to-face and telephone interactions.
- Proficient in using IT and manual information systems.
- Skilled in Microsoft Office packages including Outlook, Word, Publisher, and Excel.
- Experience working with budgets and targets.
- Capable of monitoring and maintaining petty cash.
- Understanding of partnership working with internal and external stakeholders.
- Awareness of health and safety, diversity, equal opportunities, data protection, and freedom of information requirements.
