We are proud to be representing a successful water hygiene and treatment company renowned for its expertise in the water sector. They are looking to employ a dependable Office Administrator to support their experienced team!

Requirements for Applicants:

  • High level proficiency IT skills - including Office Applications: Outlook, Word, Excel & PowerPoint.
  • Experience working with Block Managing Agents (desirable)
  • Ability to communicate clearly at all levels both internally and externally.
  • Experience in a fast-paced, environment.
  • Proven track record of delivering customer-focused service.
  • Ability to prioritise and manage workload effectively.
  • Experience of working alone or as part of a team.
  • Educated to GCSE Level 5 or above (or equivalent) to include English Language and Mathematics
  • Strong mathematical background

Duties and Responsibilities:

  • Be the main point of contact for engineer and customer phone calls, answering in a timely manner in line with service level agreements and contract requirements.
  • Using our company Jobs Management System, Motivity, contact clients to schedule jobs and book engineer visits.
  • Maintain all customer contact details in system in line with our GDPR policy.
  • Schedule and book PPMs, remedials and emergency call outs, ensuring accurate information is recorded and given in response.
  • Monitor and have knowledge of engineer daily activities.
  • Provide updates company certification/insurance/ policies when requested.
  • Weekly/monthly spreadsheet updates for multiple clients to include sites completed and ETA's.
  • Monitoring/updating client portal systems where applicable.
  • Water sampling - Monitor, update sample tracker and distribute relevant reports to all relevant company clients under the instruction of contract managers.
  • Book hotels for engineers and organise any other necessary travel arrangement
