Job Purpose

The role of the Facilities Manager is to assist the business with the day to day operations within our local sites. You will be responsible for and lead on any reactive and planned preventative maintenance of our built sites.?

This role will also lead and project manage complex built site upgrades, refurbishments, building redesign, including managing the planning process, contractual specifications, quality and compliance and implementing project assurance checks.?

This role will also act as the lead for managing the landlord/tenant, contractor and supplier relationship for both hard and soft facility management as well as being responsible for any building regulatory requirements across the sites.?

Key Tasks

  • Manage planned proactive maintenance acting as point of contact for contractors on site ensuring our buildings and grounds remain a safe environment.
  • Manage landlord /tenant relationships and associated contracts/lease agreements along with all our current and future hard and soft facilities service provider contracts
  • Manage any renovations, refurbishments and building/ground maintenance projectsincluding all planning requirements and contract tender processes
  • Manage the tender process any refurbishment, up-grade or redesign of our built sites
  • To be responsible for the general up-keep, building maintenance and grounds management for all our sites, ensure all departments and employees are aware of key Facilities activities, maintenance works and projects.
  • Monitor waste stream volumes and confidential waste to ensure best service and environmentally friendly service to the sites.
  • Deal with any emergencies that arise with our built sites and grounds whilstkeeping appropriate records relating the facilities management of our built sites and grounds.
  • Support and advise Managers with external contract procurement related to facilities management as needed including the provision of advice and recommendations for theprocurement of technical servicesand products.
  • Coordinate the Fire Safety arrangements and regular Fire testing in partnership with H&S Manager.
  • Lead regularfacilitiesproject meetings with contractors tomonitor, review and putcorrective actions in place as required.
  • Support with employee internal relocation initiatives
  • Responsible for keeping the Legionella risk assessments and water hygiene audits up to date.
  • Ensuring all facilities regulatory requirements are met, controlled and where risks have been identified, mitigated appropriately.
  • Provide technical input to all water hygiene and quality control periodic reviews, including the provision of training.
  • Appraise the Senior Leadership, on a regular basis, of any projects and risks associated with the regulatory elements of the sites facilities (i.e. Legionella, LEV, PUWER, HV/LV requirements etc.)?

Knowledge, experience & skills

  • Must have extensive demonstrable previous experience within facilities management.
  • Demonstrable experience of the contract tender process and contractor management
  • Well-versed in technical/engineering operations and facilities management
  • Experience in the daily management of health and safety
  • Must hold a Health and Safety NEBOSH qualification
  • Have demonstrable experience in completing written risk assessments.
  • Be able to prioritise and manage different tasks.
  • Logging and reporting hard service and soft service FM issues.
  • Experience of coordinating and monitoring office/factory fit outs and/or renovations alongside other teams.
  • Be open to obtaining Permit to Work certification (training provided)
