Operations Coordinator- Bathgate Area (Hybrid/Weekend)

The Role

The Operations Co-Ordinator will support the co-ordination of project activity Thursday through to Monday, as well as carrying out general administration and ad hoc activities. You will require to liaise with all necessary bodies to gather information to support the provision of appropriate personnel for both onshore and offshore activity. The Operations Co-ordinator will also support end to end travel for crew whilst maintaining records and reports for ongoing activities.

This role will involve office working Friday Morning and Monday with the rest of the hours being home-based over Saturday and Sunday. There is flexibility to what the weekend hours are.

Responsibilities

Proactively communicating and liaising with all internal and external stakeholders to support the operational needs of the business.

Responsible for ensuring that crew have all necessary information and documents for their travel/project activity.

Regularly checking in with crew during travel, by checking receipt of communications as well as ensuring regular contact with crew until arrival at destination.

Identification and selection of appropriate personnel as per project specifications and requirements.

Ensure appropriate training and certification is in place for selected crew members.

Arrange end to end travel for all personnel, including travel documentation, visas, etc whilst identifying the most cost-effective methods.

Maintaining the resource planner and spreadsheets to reflect accurate and up to date project activity and availability.

Maintenance of crew files and certifications.

Identifying and arranging appropriate training and documentation to maintain valid certification required for offshore activities.

Capturing day to day data for preparation of ESG reporting and ad hoc reporting.

Manage the purchase orders process in a timely manner in relation to services booked and invoices received.

Attend and contribute to project meetings and prepare any documentation as required.

Proactively promote Health and Safety in the workplace.

Required Experience

Skills required:

  • Excellent communication skills both written and verbal. (good grammar/spelling)
  • Ability to use own initiative and make informed decisions.
  • Strong organisational and administrative skills.
  • Proactive, able to work autonomously within tight timescales managing multi-disciplined projects/tasks.
  • Ability to operate various Microsoft packages and web-based packages as required by the business.
  • Flexibility, to see urgent tasks through to completion.
  • Strong problem solver with a solution orientated approach.
  • Good attention to detail.

Qualifications

Salary- 24-26K DOE (flex for right candidate)

Hours- 36.25 (option for lower hours)
