Administration Assistant / Support Officer
Location: Bedford
Date: 14/04 to 12/07
Shift Pattern/ Hours : 09:00 am to 17:00 pm
Salary: 12.50 per hour
The role: To be responsible for delivering a comprehensive, efficient and effective personal and administrative support service to the Senior Management Team.
What you will be responsible for:
- To provide personal and secretarial and administrative for the Senior Management Team.
- To develop and maintain effective data systems, both paper based and electronic.
- To organise and arrange meetings and staff conferences on behalf of the Senior Management Team and to maintain diary of commitments.
- To prepare agendas and minutes for all meetings as required.
- To support the Senior Management Team through the provision of appropriate data, reports and background papers in anticipation of needs.
- To deal with and compose routine replies to correspondence and sort incoming mail and redirect on behalf of the Senior Management Team.
- To co-ordinate telephone call handling across all the Directorates in an efficient and effective manner and to make arrangements and support the reception of visitors to the building, where required.
- To provide information, advice and guidance to Team members in terms of the operation of the efficient office systems.
Requirements:
- Demonstrable experience of working in an office environment and knowledge of general office systems and equipment.
- Experience of providing secretariat function and administrative support.
- Ability to deal with correspondence and carry out routine clerical and general administrative tasks.
- Must have good organising ability and able to prioritise work to meet critical deadlines.
- Must be able to communicate effectively with business/community/management and to deal with a variety of enquiries, both sensitively and efficiently.
