Senior Project Administrator (Design & Build)

We are seeking a passionate and experienced Senior Project Administrator to join our dynamic Operations team. This role is crucial for managing all aspects of project planning for our innovative ‘Design & Build’ projects. If you are looking for a role where precision meets creativity and client interaction is key, this is the perfect opportunity for you.

Day-to-day of the role:

  • Coordinate and attend ‘hand over’ meetings to fully understand the scope of projects, contracted budgets, and schedules.
  • Directly liaise with clients to capture and communicate the intricate details of projects, ensuring internal alignment and flawless delivery.
  • Conduct pre-planning meetings with onsite Construction Managers to guarantee all project deliverables are understood and implemented.
  • Oversee project budgets, tracking changes meticulously to ensure all variations are captured and invoiced.
  • Collaborate with the finance team to manage purchase orders, client invoicing, and supplier invoice accuracy.
  • Work closely with the Design team to develop project plans and bill of materials (BoM), ensuring all design requirements are updated, communicated, and accurately captured as projects evolve.
  • Ensure smooth project execution during construction, production, and live phases by maintaining constant communication with the Operations and onsite Construction teams.
  • Prepare and issue detailed project workbooks, including delivery schedules, and ensure all transport and equipment needs are booked and communicated effectively.
  • Provide post-project reports and conduct client meetings to review project outcomes and learnings.

Required Skills & Qualifications:

  • Proven project management experience, ideally in a design and build environment.
  • Exceptional organisational skills and a keen attention to detail.
  • Strong communication skills, capable of engaging with diverse groups.
  • Proficiency in IT systems, including spreadsheets and basic software applications.
  • Creativity, resourcefulness, and a strong determination to succeed.
  • Ability to work effectively as part of a team and foster collaborative relationships.
