Our client, a well-established Mechanical & Electrical (M&E) Building Services company, is seeking a highly organised and proactive Office Administrator to support their growing operations. This role is integral to ensuring smooth administrative processes across the business, including new staff inductions, supply chain compliance, project personnel administration, financial support, and document handling.
The ideal candidate will have experience in construction or M&E administration, with strong attention to detail and the ability to manage multiple tasks efficiently.

Key Responsibilities
- Coordinate and administer induction processes for all new employees.
- Ensure all new starters complete necessary paperwork and compliance training.
- Maintain and update staff records accordingly.
- Maintain company supply chain accreditations and performance records to ensure compliance with industry standards.
- Process and approve new supply chain PQQs (Pre-Qualification Questionnaires), ensuring compliance with company policies.
- Manage sign-in and sign-out records for project personnel across various sites.
- Liaise with site managers to ensure accurate workforce tracking.
- Assist senior leadership in recording Quality Assurance data to meet Building Safety Act requirements.
- Ensure documentation is correctly recorded and maintained for compliance audits.
- Issue formal letters to clients and subcontractors as required.
- Chase late payments, liaising with finance teams and external stakeholders to ensure prompt resolution.
- Maintain and organise project documentation, ensuring accuracy and accessibility.
- Support the wider team with administrative tasks, ensuring operational efficiency.

Essential:
- Proven experience in an administrative role within the M&E, construction, or building services sector.
- Strong organisational skills with the ability to manage multiple tasks.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems.
Desirable:
- Experience handling supply chain compliance and accreditation processes.
- Knowledge of Building Safety Act requirements and construction quality assurance.
- Familiarity with financial administration, including chasing payments.
