Maintenance Contracts Coordinator

We are seeking a Maintenance Contracts Coordinator to join our Estate Customer Services team. This role is pivotal in overseeing and coordinating maintenance contractors for both planned and reactive maintenance across all campus locations. The successful candidate will ensure that the maintenance services delivered support the maintained condition of University assets effectively and efficiently.
Day-to-day of the role:
- Oversee the annual cycle of regular maintenance activities, coordinating between contractors and the internal operations team.
- Monitor and instruct planned and reactive maintenance activities carried out by maintenance contractors.
- Engage with the Estates Services team and customers as required to enable access and coordinate the planning and operations associated with maintenance.
- Monitor the administration of operational instructions, service records, compliance, and the process for addressing identified faults and repairs.
- Assist in the process for agreeing required repairs, defining requirements, obtaining costs, approving, instructing, and monitoring works.
- Have an in-depth knowledge of contractual requirements for all contracts and assist the Estates Services team in coordination.
- Support the planning and management of the cyclical contract tender process for all maintenance contracts.
Required Skills & Qualifications:
- Educated to HNC/HND Level or equivalent in mechanical, electrical, or building services engineering, or a related technical discipline.
- Experience in a management/supervisory role relating to estates engineering services operating across a significant estate.
- Proficient in the use of spreadsheets, property databases, and project/facilities management packages, with knowledge of CAD.
- Demonstrable experience in coordinating external contractors and managing technical engineering/building planned maintenance contracts.
- Excellent interpersonal and written and oral communication skills, with good negotiating and influencing skills.
