Recruitment Administrator
My client is a leading organisation based in Belfast, City Centre - who are currently seeking a Recruitment Administrator to join their team.
This is a Full-Time, temporary position until August 2025.
Hours of work: 37 hours per week (Monday – Thursday: 9am – 5.30pm and Friday: 9am-2pm)
With a salary of £13.62 - £14.83 (dependent on experience)
Currently Hybrid – 2 days office and three WFH
Closing date Monday 24th February
Job Role:
As part of a busy recruitment team, you will be responsible for processing applications for vacancies for both permanent and temporary staff, from authorisation through to candidate induction.
Essential Criteria:
- Minimum of 1 year’s relevant administration experience of working in an office environment
- Minimum of 3 GCSEs at Grade C or above, or equivalent, including English & Maths or, alternatively, be able to demonstrate at least 2 years relevant experience in a similar post
- Excellent IT skills with the use of Microsoft Office (applications of Word, Excel, and Outlook)
- Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels
- Excellent organisational skills with the ability to manage and prioritise a busy workload – while adhering to strict deadlines
- Ability to work on your own initiative as well as part of a team
Main Duties and Responsibilities:
- Process recruitment exercises using COREHR e-recruitment system, i.e., prepare paperwork including job description, advertise jobs, prepare shortlisting, organise assessment centres/psychometric tests, organise interviews, prepare and send appropriate correspondence to applicants and managers, organise pre-employment medicals and health surveillance, request references, agree start dates
- Prepare offer letters and contracts for successful applicants and ensure pre-employment checks are carried out appropriately
- Update reserve registers/waiting lists
- Set-up new user accounts in CoreHR and trouble-shoot any issues which arise
- Complete initial shortlisting of vacancies and resolve all queries within remit
- Administer/assist with delivery of psychometric tests as required
- Liaise with the Team Lead on business needs related to testing and assessment techniques
- Approve paperwork returned by interview panels and ensure all appropriate documents have been received. Adequately resolve any queries before proceeding to appointment of applicants
- Prepare feedback letters to applicants
- Draft and place vacancy advertisements, send out internal vacancy bulletins, upload onto external jobs boards, provide details to agencies where applicable, assist Team Lead with sourcing strategies to attract high calibre applicants
- Ensure status on each vacancy is kept up-to-date and provide summary for reports as required including maintenance of weekly tracker
- Ensure each vacancy file is completed with all relevant paperwork included, and status against every applicant is updated
- Record new external starts on welcome meeting/induction lists and Admin spreadsheet, and all new start documents are uploaded to the Admin New Start folder. Ensure induction pack is sent to new external starts
- Coordinate attendees at corporate induction sessions
- Coordinate process for closed recruitment exercises for employees in redeployment situations and prepare any subsequent redeployment offer lettersÂ
