Position Expectations

Our client is seeking a versatile receptionist to run their busy reception area and support with legal secretarial duties.

The ideal candidate will exhibit excellent communication skills and competency in general office administration with a polished and professional attitude who create a positive first impression.

Key responsibilities and tasks

  • Prepare court bundles
  • Transcribe and proofread legal documents
  • Accurately file documents with the court ahead of deadlines
  • Process third party and vendor invoices
  • Arrange travel arrangements for Solicitors
  • File, organise, scan, copy and fax legal documents in a timely manner
  • Answer phone calls, take notes/messages and redirect calls when appropriate
  • Welcoming clients and visitors upon arrival at reception
  • Assisting clients and visitors with the location of legal staff
  • Scheduling and confirming appointments
  • Ordering and replenishing office supplies
  • Managing the maintenance and repair of office equipment
  • Assisting with copying, scanning, faxing, emailing, note-taking, bundle preparation and travel bookings
  • Preparing meeting facilities and arranging refreshments, if required

Skills and Experience:

  • Previous working experience as a Legal Secretary and/or Legal Receptionist
  • Qualification in legal studies or similar desirable
  • Familiarity with legal terms, legal documents, and filing
  • Excellent written and verbal communication skills
  • Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems
  • Exceptional interpersonal and communication skills
