About the Role:

We are seeking a highly organized and dedicated Service Admin to join our team. The ideal candidate will provide key administrative support to the Operational team, ensuring the smooth running of day-to-day operations and delivering exceptional customer service. Shift Patten 

  • Monday to Friday (office based) 
  • 8.30am to 5pm 

Main Purpose of the Job:

  • Liaise with operational personnel to ensure all systems are updated.
  • Manage all administrative activities for the department.
  • Develop and maintain positive relationships with customers.
  • Minimize invoice queries and investigate any credit requests.
  • Ensure data input is accurate and completed promptly.
  • Complete all end-of-week checks before the monthly invoice run.

Main Tasks and Activities:

  • Resolve customer missed collection queries promptly.
  • Handle customer invoice queries efficiently.
  • Ensure accurate data entry into IT systems.
  • Record gains and losses on the depot progress spreadsheet.
  • Manage emails effectively, ensuring they are dealt with and filed away on time.
  • Keep Helpdesks clear or in progress by the end of each day.
  • Update reception with relevant service issues (e.g., vehicle breakdowns).
  • Inform key accounts of service issues affecting their customers.
  • Contact missed customers to explain the reason for the missed collection and confirm a rescheduled day.
  • Ensure all routes are in order and report any non-compliance by drivers to the Service Administrator.
  • Manage delivery and collection tickets, keeping customers informed about their delivery date and first collection day.

Skills and Experience:

  • Strong administration skills.
  • Competent in the use of Microsoft applications.
  • Excellent customer service skills.
  • A team player with the ability to work on your own initiative.
