We are seeking a Lettings and Facilities Management Assistant to join our team and play an important role in ensuring optimal occupancy and customer satisfaction across our commercial portfolio. We are a leading commercial property landlord and developer based in Birmingham. The successful candidate will be based at our newly refurbished offices close to the city centre.Main responsibilities:To market and promote vacant properties within the portfolio in conjunction with the Property Management Team to include letting of vacant space, management of internal and external websites, undertaking marketing meetings with external consultants and create brand awareness through social media to achieve maximum levels of occupancy and profitability. To undertake basic facilities management duties to include visiting estates to ensure tenants keep sites neat and tidy and are complying with all lease terms and relevant insurance conditions.Main Duties/Responsibilities

  • Efficiently respond to enquiries via phone, email and web portals.
  • Production, updating and management of marketing material.
  • Undertake viewings and/or liaise with external agents throughout the lettings process.
  • Ensure presentation of the estates, units and offices are as to be expected when a prospective viewing is attending site.
  • Manage the EPC database to ensure each property has a valid EPC during the marketing process.
  • Liaise with Tenants on site to ensure good relationships are maintained to include on-going care, servicing of client needs and complaints.
  • Liaise with senior management to ensure that any issues raised by tenants are resolved in a timely manner.
  • Maintain brand identity and structure through advertising boards, marketing material, etc.
  • Liaise with external consultants to produce promotional literature and advertising boards to market our estates.
  • Identify new sites to bring into the portfolio.

Key Requirements

  • Relevant experience is desirable but not essential. Relevant transferable skills will be considered.
  • Good written and spoken English.
  • Ability to communicate with different types of people, showing tact and diplomacy.
  • Good IT skills
  • A "can do" attitude.
  • Good organisational skills.
  • Ability to be a team player.
  • Smart appearance.
  • Personable and able to present a professional image to customers.
  • Good negotiation skills.
