Reporting to the Regional Director, the Personal Assistant will provide daily administrative and diary support and management of both the Regional Director and Head of Region.Main Duties and Responsibilities of the Personal Assistant

  • Pro-active diary management and forward planning.
  • Ensuring that regular and adhoc internal and external meetings and site visits are scheduled and organised effectively,
  • Inbox and correspondence management where required, including identifying and communicating urgent actions.
  • Coordinating office facilities, room bookings, meeting papers, correspondence, catering, business travel and accommodation arrangements as required.
  • Drafting agendas, circulating papers, taking minutes and monitoring/contributing to the relevant teams chats where appropriate.

Experience and Knowledge

  • Able to intelligently assess and anticipate needs.
  • Proven experience as a Personal Assistant or in a similiar role.
  • Experience of dealing with confidential information with discretion, tact and sensitivity.
  • A high standard of accuracy and attention to detail.
  • Proven experience of pro-actively managing complex and changing diaries.
  • Proven ability to work effectively under pressure, juggle conflicting demands and manage multiple tasks.
  • Excellent IT skills, including advanced knowledge of MS Office applications (Word, Excel, PowerPoint and Outlook 365), setting up/managing physical and virtual meetings (Teams or similar).
