Office Manager

(Temporary)

Part time (15 hours per week 3 days per week)

Office based

ClearCourse are looking for a part-time Office Manager to join us - for around 3 months. As a growing organisation with lots of moving parts - this will be a great opportunity for a focused and organised person to join and gain lots of exposure, whilst keeping enthusiastic about the challenge on hand. 

The main duties will consist of, but not be limited to:

Once weekly

  • Check Paxton system for any door anomalies and that its recording door entries/exits and report any issues to Group Premises Manager.
  • Walk round office and conduct office equipment check, ensuring all keyboards/mice/docking stations are still in place and report any missing items to Group Premises Manager.
  • Create any passes for new starters and deactivate for any leavers.
  • Create Asda order for sundries items for kitchen.
  • Update stock sheet and monitor stock levels, send stock sheet to Group Premises Manager.
  • Liase and conduct monthly audit checks with cleaning company.
  • Liase and check with maintenance company to ensure checks are being conducted and recorded.
  • Be responsible for Health & Safety within the office environment, reporting any issues to Group Premises Manager

Monthly

  • Create attendance report and send to Group Premises Manager.
  • Update maintenance report and enter attendance figures for monthly office update call.
  • Ensure audit checks dates, invoices and costs have been entered into maintenance tracker
  • Paxton cleanse (are staff still correct)

Issues/Maintenance

  • Be responsible for obtaining quotes for authorisation by Group Premises Manager.
  • Escalate where needed any staff issues to Group Premises Manager.
