About the Business

We are recruiting for a leisure business with a strong reputation for high quality service. The purpose of this job is to is to lead the team by project managing all aspects of instructions transitioning in an accurate and timely manner.

Working Pattern

This is a heavily hybrid working pattern based in Birmingham with one day in the office and the rest working from home.

Main Duties

  • Clearly communicate deadlines and timelines for mobilizations and handovers to all involved parties
  • Organise and lead meetings with all stakeholders to ensure everyone understands their roles and responsibilities based on the established timelines.
  • Provide all necessary data and documents for client, property, and lease mobilisations/transitions. This may involve transferring documents to/from internal and external data rooms.
  • Learn the structure needed to set up new operations and provide relevant documents to each team member for their specific tasks.
  • Review and approve the database for accuracy. You will also gain knowledge of the system to handle setups effectively.
  • Regularly update everyone on task completion and escalate any non-compliance or delayed responses to managers and directors.
  • Take primary responsibility for maintaining and updating the transitions team’s job tracker for incoming and outgoing instructions.
  • Assign or attend transitions team calls, assist with recording action items, and keep everyone informed with updates.
  • Guarantee that all relevant legal letters are completed and issued.
  • Manage the transitions team mailbox, ensuring responses and actions are handled promptly, filed, and maintain a clear audit trail.
  • Document the team’s processes and procedures for ongoing reference, and review them annually for optimization.
  • Participate in operations meetings and share updates on current and outstanding mobilisations and handovers.
  • Contribute to wider business unit projects to improve and enhance operational practices.
  • Assist in creating high-level mobilization plans and contribute relevant wording for pitches as needed.
