Location: Birmingham based, with potential travel to Bristol office (expensed)

Hours: Full Time Mon - Fri 9am to 5pm Hybrid 2/3 days per week once training completed

Job Purpose:

Are you organised, detail-oriented, and passionate about the transport industry? Our client is seeking a dedicated Transport Administrator to join their team. In this role, you will play a vital part in ensuring the efficient administration of the transport services, while also ensuring compliance with all legal requirements related to the vehicle fleet.

Main Responsibilities:

  • Vehicle Administration: You will be responsible for the administration and integration of new vehicles. This includes setting up vehicle records in the Transport Database and ensuring they are enrolled in the servicing programme.
  • Database Management: Maintaining and updating the transport database will be a key part of your role, ensuring accurate records are always available.
  • Scheduling and Ordering: You will assist in scheduling, ordering, and raising purchase order numbers for new vehicles, helping to streamline the procurement process.
  • Record Keeping: Maintaining up-to-date records for the allocation, transfer, or disposal of vehicles is essential for effective fleet management.
  • Auction Management: Prepare and submit auction forms for surplus vehicles, check auction proceeds, and update the Transport Database accordingly.
  • Fuel Card Administration: You will manage the administration records for the fuel card renewal system, order and issue fuel cards, and ensure they are allocated to the correct Managed Units. You will also take action to cancel and delete fuel card records as necessary.
  • E5 System Processing: Process purchase orders and receipts through the E5 system to support financial tracking.
  • Long-term Vehicle Hire: Ordering of long-term hire vehicles will also fall under your responsibilities.
  • General Administration: Perform general administrative tasks such as filing vehicle maintenance documents and test certificates, as well as handling and processing incoming mail items.
  • Technical Support: Assist with technical queries related to vehicles, plant, and equipment.
  • KPI Reporting: Help with the monthly Key Performance Indicator reporting.
  • Procedure Documentation: Ensure that all operational procedures are well-documented and adhered to.

Candidate Requirements:

  • To excel in this role, you should possess strong computer skills, with the ability to update records and generate both standard and ad-hoc reports. Excellent numeracy and literacy skills are essential, as well as strong interpersonal and communication skills for effective collaboration with colleagues and external stakeholders.
  • The ideal candidate will be organised and capable of prioritising tasks effectively. Familiarity with transport industry legislation and policy is advantageous, along with a basic mechanical or technical understanding.
  • External candidates should hold a grade A*-C/4-9 GCSE in English and Mathematics, or a Functional Skills Level 2 qualification in both subjects.
