Admin Assistant - Administrative Support
Location: Blackpool, Lancashire
Salary: Up to 25k DOE
Hours: 37.5 hours per week, Monday to Friday AM to PM
Temporary to Permanent opportunity - 3 month probation

Key Responsibilities of the Admin Assistant:
- Provide a high level of professional support to the service, planning and prioritising a varied workload.
- Handle information of a confidential nature with the highest standards of professionalism, discretion, and confidentiality.
- Demonstrate excellent communication skills, both verbal and written, liaising professionally with service users, staff, and external stakeholders.
- Check and respond to emails, prioritising and responding accordingly.
- Create and update spreadsheets, graphs, and reports to share with board members and the Executive Team.
- Gather weekly reports and collate data for analysis.
- Answer phone calls, ensuring messages are recorded and passed on to relevant individuals.
- Respond to urgent queries, concerns, or complaints professionally.
- Manage diaries and prioritise appointments.
- Plan and prepare relevant records and reports for meetings.
- Maintain accurate records, including updating regular staffing spreadsheets and central records and databases.
- Send invites to meetings, investigations, and disciplinary meetings.
- Take verbatim minutes and write outcome letters.
- Work as part of the team at the office.
- Collate information for contract management purposes, CQC inspections, and compile professional reports and action plans.
The Key Requirements of the Admin Assistant:
- Provide a point of contact for internal and external enquiries, acting as a filter for the management team.
- A want to support others and work in a rewarding industry.
- Organise meetings and events, including booking rooms/venues and distributing agendas and minutes.
- Ensure prompt and efficient distribution of written and electronic mail, disseminating information to key staff and following up on important matters.
- Minute meetings as required, maintaining confidentiality at all times.
- Liaise with senior officers on highly sensitive and confidential matters.
- Assist and support the team in planning and delivering corporate events, projects, and activities.
- Develop and maintain efficient office systems, data collection, and management processes.
- Organise the approval of time sheets, overtime, and expense claims for senior staff.
- Take a proactive approach to gaining knowledge and understanding of agency policies, management, and governance structures.
- Travel to various services to assist with specific pieces of work as required.
