Admin Assistant Position Overview
  • General Administration:
    • Manage reception duties, including greeting clients, answering phone calls, and handling general inquiries.
    • Maintain and organize office files, both electronic and paper, ensuring they are up-to-date and easily accessible.
    • Handle incoming and outgoing mail, including scanning, filing, and distributing correspondence.
    • Order and manage office supplies, ensuring stock levels are maintained.
  • Client Support:
    • Assist in the preparation and formatting of client documents, reports, and correspondence.
    • Schedule and coordinate client meetings, including booking meeting rooms and preparing necessary materials.
    • Maintain client records and databases, ensuring all information is accurate and current.
    • Assist with onboarding new clients, including setting up accounts and ensuring all necessary documentation is completed.
  • Team Support:
    • Provide administrative support to the accounting and tax teams, including data entry, filing, and document preparation.
    • Assist with the preparation and submission of client invoices and statements.
    • Support the coordination and organization of team events, meetings, and training sessions.
    • Perform other administrative duties as required to support the smooth running of the office.

Admin Assistant Position Requirements

  • Previous experience in an administrative or office support role, preferably within an accountancy practice or professional services environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
