Temporary Administrator

We are seeking a highly organised and proactive Programme Coordinator. This role involves overseeing the booking and coordination of activities, managing supplier communications, and ensuring seamless programme execution.

Key Responsibilities:

  • Arrange bookings for activities, venues, and tickets in advance, confirming details with suppliers and liaising with relevant team members.

  • Raise Purchase Requisitions, update financial records, and monitor payments.

  • Set up confirmed activities on SCM and ensure all programme details are accurately recorded.

  • Create and proofread programme brochures, coordinating with Business Support for timely distribution.

  • Manage bookings through MS Forms, ensuring necessary registrations are completed.

  • Maintain the All Bookings spreadsheet, tracking allocations, changes, cancellations, and payments.

  • Process activity allocations and generate reports, ensuring GDPR compliance and accuracy.

  • Communicate allocations and payment details to parents via email and manage responses.

  • Verify and track payments, issuing reminders for outstanding balances as needed.

  • Prepare and distribute Parent Information Sheets ahead of each programme.

  • Support programme operations by managing cancellations, reallocating spaces, and monitoring finances.

  • Follow up on outstanding balances post-programme and process necessary refunds.

  • Maintain records of unpaid balances to ensure accurate future booking eligibility.

Required Skills & Experience:

  • Strong organisational and communication skills.

  • Experience in programme coordination or a similar administrative role.

  • Proficiency in Microsoft Office, particularly Excel and Forms.

  • Attention to detail and ability to manage multiple tasks simultaneously.

  • Financial tracking and reporting experience preferred.
