The Estates Manager will be responsible for the following duties:

You will manage the daily operational functions of a group of schools, ensuring the educational environment is safe, suitable for use by children and staff, and fully compliant with the Health & Safety at Work Act. Additionally, you will ensure that all maintenance and service support services are conducted according to contractual agreements and within compliance regulations set by educational and government departments.

Duties and Responsibilities:

  • Reporting: You will report directly to the Director of Estates 
  • Support: Assist the DofE in all areas as directed.
  • Management: Act as the line manager for all Site and Assistant Site Managers.
  • Oversight: Oversee the schools’ independent cleaners and the cleaning contract and stock inventory.
  • Performance: Directly responsible for the performance of the following functions:

School Site Management:

  • Ensure Site Managers conduct their daily responsibilities, setting workloads according to the direction of each school head and in the priority order set.
  • Program daily workloads via the school system.
  • Conduct weekly meetings with all Site Managers to ensure timely reporting of issues.
  • Establish a logical and achievable maintenance regime for all fixed assets and machinery.
  • Provide direction and guidance to all Site Managers on compliance regulation, H&S safe methods of work, and compliance standards.
  • Ensure all required documentation is up to date and accurate.
  • Prepare work schedules for school breaks, covering site team programming and outside contractor work schedules 

Contracts:

  • Oversee all current service support contracts within the group, ensuring best practice, continued requirement, and value for money.
  • Annually confirm that all contracts are current and within industry limits.
  • Investigate and recommend necessary contracted services for the betterment of the group and its routine operations.

Information Management System:

  • Oversee the daily routines necessary to operate the school IT system.
  • Coordinate the daily, weekly, and monthly issues/tasks for each school.
  • Oversee the daily, weekly, and monthly work schedules produced 
  • Prepare contracts, maintenance certificates, and legislative reports for procedural regimes.
  • Prepare weekly reports for all activities, issues, and contracts.
  • Implement asset register entries 

Health & Safety:

  • Attend all termly Health and Safety meetings in each school.
  • Coordinate all reporting procedures, including risk assessment checks, fire alarm tests, security checks, emergency lighting tests, and waste management.
  • Manage the safe handling of Legionella bacteria in the school’s hot and cold water systems, including prescribed flushing of outlets, temperature checks, cleaning and disinfection, and record keeping.
  • Provide guidance during all meetings.
  • Monitor and review the COSHH records and procedures for all schools.
