Job Title: Leasehold Officer Location: Hybrid - 2 days from home and 3 days in the office based in Brentwood (CM15)Hourly Pay Rate: £13.94 to £15.45 dependent on experience Hours: 37 per week Length of the contract: 3 Months Gi Group are now seeking to appoint an experienced Leasehold Officer to our Public Sector client based in Brentwood. The Leasehold Officer will be responsible for the administration of leaseholder service charges, major works, shared ownership properties, Right to Buy applications, and other leasehold services income. The postholder will take ownership of the performance of leasehold property management, ensuring the correct apportioning and accounting of expenditure. The role will also involve preparing annual estimated and actual service charge accounts. Duties of the Leasehold Officer

  • To participate in employee development schemes and appraisals and contribute to the identification of team development needs.
  • To take ownership and responsibility for any service-related written or verbal complaints or enquiries from the public, staff, statutory agencies, or other bodies and to respond promptly and efficiently within set timescales, ensuring a high level of professionalism and customer service is maintained at all times.
  • To monitor receipt of income and ensure that appropriate action is taken to pursue outstanding debts in accordance with leasehold legislation and client policies and procedure.
  • To ensure that services are customer-focused and responsive to local needs, working closely with Tenant Participation Groups and encouraging involvement and feedback. This may include the need to attend evening meetings.
  • Undertake recovery action in accordance with defined policy and ensure all service charges and shared ownership accounts are regularly monitored and appropriate actions are taken in a timely manner.
  • Undertake S20 consultation in accordance with the procedure and timescales outlined in the legislation, issuing notices and supporting information as required.
  • To deal with applications requiring permission under the lease, responding within set timescales and raising administration charges where the lease allows.
  • To respond and process Right to Buy applications, conduct necessary fraud checks, and liaise with Solicitors.
  • Refer cases to legal services for recovery action and monitor progress and performance in a timely manner, prepare papers, and propose cases for write off.

Role Criteria

  • Educated to GCSE Maths and English Grade A to C or equivalent.
  • Working knowledge of how to read and manage leases.
  • Knowledge of Right to Buy Legislation.
  • Demonstrable experience of working in leasehold services.
  • Experience of arrears recovery in respect to service charge and major work arrears.
  • Experience of processing leaseholder service charges for actuals and estimates.
  • Experience signposting vulnerable tenants and identifying safeguarding issues.
  • Valid full UK Driving Licence.
  • Willingness and flexibility to work outside normal hours as necessary.
