Hawk 3 Talent Solutions is operating as an employment business on behalf of its client to recruit a permanent Administration Manager to the Managing Director. This position is in Bridgwater, Somerset, with a market-leading manufacturer. The Managing Director (MD) is blind, which means your role will involve providing support and guidance, including access to all his confidential emails.

We are looking for someone who can assist our MD in a professional and friendly manner. He seeks to build trust, develop a working friendship, and collaboratively foster the growth of the business. The ideal candidate should be career-driven, kind, caring, and confident in travelling by train and plane in the UK, to support him in travelling to client meetings two weekly. 

Please note that the role is office-based five days a week and does not offer a hybrid working model. The responsibilities of this role closely align with the key duties of the MD. We are looking for a candidate who demonstrates a high level of integrity, maintains absolute confidentiality, and possesses excellent organisation and time management skills. Ideal candidates may have prior experience as a Sales Manager, Sales Administrator, Office Administrator or Personal Assistant! 

The working hours are full-time, 8:00 AM -  5:00 PM, with a one-hour lunch break. It would be ideal if you had the flexibility to do a 7.00 am start on a Friday and finish at 4.00 pm, if you could, but it isn’t essential. The annual salary is approximately £35,000 - £45,000 PA depending on experience.

Key Responsibilities:

  • The Managing Director (MD) is responsible for the company's growth plans and sales activities. Over the next five years, he aims to implement these plans and requires support, particularly from his Administration Manager. Additionally, you will attend some business meetings, take notes, manage the writing of new tenders with the MD,  attend trade shows with him, and assist him with travel arrangements for weekly client meetings.
  • It is important to note that you will not have any direct reports to manage; your primary responsibility is to support the MD's work.
  • This role requires a candidate with a strong level of integrity, strict confidentiality, and excellent organisational and time management skills. Since the Managing Director is blind, you will have access to all of his emails, assisting him with highly confidential information. A high level of trust is essential, and it is important to establish a close working relationship.
  • Responsibilities include a variety of administrative tasks, such as managing the Managing Director's calendar, taking meeting notes, and following up on action items. You will receive direct support and guidance from the Managing Director, fostering a dynamic partnership essential for the role's success. 
  • Key duties encompass providing administrative assistance, organising files, and offering general secretarial support to the Managing Director. You will also oversee, plan, and communicate any changes to the Managing Director's schedule, arranging meetings as necessary and keeping him updated on any appointments he is required to attend. 

Essential Requirements:

- Proven experience in a Sales Manager, Senior Administrator, Sales Office, or Personal Assistant role. Candidates must be confident and comfortable with travelling by train and plane to assist the Managing Director with safe travel plans and to attend business meetings with him either monthly or bi-weekly within the UK.

- Confidence, and a friendly manner when supporting the MD with his condition and his workload. 

- The role involves supporting the Managing Director (MD) with various administrative tasks, including managing emails, arranging travel, coordinating business meetings, and assisting with growth initiatives, bids, and tenders. This position operates at a senior level within the organization as an administration manager. It is important to note that you will not have any direct reports to manage; your primary responsibility is to support the MD's work.

- Proficient in full PC literacy, especially with Microsoft Office applications.

- Strong time management skills and the ability to prioritise and plan tasks effectively.

- Capable of developing effective working relationships.

- Excellent interpersonal and communication skills.

- Highly enthusiastic and motivated.

- Reliable, conscientious, and detail-oriented.

- Strong accuracy and attention to detail.

- High level of integrity, ensuring strict confidentiality.

- Possession of a valid driving license.
