About the Role

As Office Supervisor you will be the welcoming face of our campus and the backbone of our office operations. In this role, you will manage the day-to-day functions of our office while also providing essential HR administrative support.

What You'll Do:

  • Visitor Management: Greet and manage all visitors to the building, ensuring proper access, identification, and signing-in procedures.
  • Liaison Duties: Act as the point of contact between departments for office-related matters, coordinating with the Campus and Technical Services teams to maintain the property and assets.
  • Technical Coordination: Work with the Technology team to address any technical issues in the office.
  • Staff Onboarding: Assist with the onboarding process for new staff, including conducting office tours and ensuring health and safety compliance.
  • Office Supplies: Oversee stationary stock, general office supplies, and manage the kitchen area, including ordering supplies and maintaining cleanliness.
  • Meeting Room Management: Organise meeting room bookings and arrange refreshments as needed.
  • Post and Deliveries: Disseminate incoming post, accept deliveries, and manage confidential waste and archiving.
  • Building Management: Coordinate with keyholders to manage the opening and closing of the building.
  • HR Administration: Provide administrative support across the employee lifecycle, including pre-employment checks, contract administration, payroll processes, and handling leavers.
  • Support People Projects: Assist with HR projects and initiatives as required.

What You'll Bring:

  • Experience: Previous experience in a reception/front-of-house role with strong administrative skills.
  • Interpersonal Skills: A friendly and approachable demeanour with excellent communication abilities, both in person and over the phone.
  • Technical Skills: Proficiency in Microsoft Office, with strong time management and organisational skills.
  • Attention to Detail: Accuracy and a keen eye for detail in all tasks.
  • Training: Willingness to undergo training as a fire warden and first aider, if not already certified.

?This is a part time role, based on working 30 hours per week: Wednesday, Thursday & Friday 8:30AM - 6:00PM with the remaining 4.5 hours worked flexibly.
