Job Overview:

As the Receptionist you will play a vital role in creating a positive first impression for clients, partners, and visitors. You will be responsible for managing the front desk, handling inquiries, and ensuring the smooth operation of the office on a day-to-day basis. You will also provide administrative support to various teams across the company, contributing to an efficient and welcoming office environment.

Key Responsibilities:
  • Front Desk Management: Greet and assist visitors, clients, and employees in a friendly, professional, and welcoming manner.
  • Phone & Email Handling: Answer incoming calls, direct them to the appropriate departments, and manage general email inquiries in a timely manner.
  • Scheduling & Appointments: Manage meeting room bookings, coordinate schedules, and ensure that clients and colleagues have the necessary resources for meetings and events.
  • Administrative Support: Provide general administrative support, such as maintaining office supplies, preparing documents, and assisting with data entry or filing as needed.
  • Visitor Management: Ensure that all visitors are signed in, provide visitor badges, and ensure security protocols are followed.
  • Office Maintenance: Monitor and maintain the cleanliness and organization of the reception area, ensuring it aligns with the company’s professional image.
  • Mail & Deliveries: Receive and distribute incoming mail, packages, and deliveries, ensuring they are forwarded to the appropriate recipients.
  • Support to Teams: Assist different departments with various administrative tasks, such as scheduling, correspondence, and documentation, as required.
  • Health & Safety Compliance: Ensure that health and safety protocols are followed within the reception and office areas, particularly for visitors and contractors.
