Receptionist

We are seeking a dedicated Receptionist to manage our front desk daily and perform a variety of administrative and clerical tasks. As the first point of contact for our visitors, you will play a crucial role in making a positive impression and ensuring efficient communication throughout the organisation.
Day-to-day of the role:
- Greet visitors warmly and ensure proper security protocols are followed.
- Manage telecommunications systems efficiently.
- Handle queries and complaints via phone, email, and general correspondence.
- Transfer calls as necessary and ensure messages are accurately relayed to appropriate staff members promptly.
- Manage the availability of meeting rooms and prepare them for meetings.
- Receive, sort, distribute, and dispatch daily mail.
- Prepare vouchers and handle various clerical tasks such as transcription, printing, photocopying, and faxing.
- Record and maintain office expenses and handle travel arrangements for staff.
- Coordinate both internal and external events.
- Manage office inventory, ensuring supplies such as stationery, equipment, and furniture are adequately stocked.
Required Skills & Qualifications:
- Proven experience as a Receptionist or in a similar role.
- Proficiency in Microsoft Office Suite and office management software.
- Excellent phone etiquette and ability to manage multiple lines.
- Strong communication and interpersonal skills.
- High level of organisation and attention to detail.
- Ability to handle confidential information.
- Flexibility and the ability to prioritise tasks.
