We are currently seeking an Operations Support Coordinator to join our client on a full-time basis. This role is office-based and offers a dynamic work environment where attention to detail and excellent administrative skills are essential.
The successful candidate will report to the Contracts & Operations Support Manager and will play a key role in supporting their operations team.
Day-to-day of the role:- Review job correspondence and information regularly and take necessary actions.
- Log all new orders received by email
- Schedule and plan work effectively.
- Update system to enable monitoring of jobs.
- Undertake document completion checks, including invoicing.
- Escalate issues and queries when necessary.
- Handle Operations calls and support related queries over the phone and via email.
- Book technician/subcontractor visits and update relevant schedules.
- Ensure all documentation is sent to customers prior to visits.
- Send technicians weekly job schedules.
- Liaise with Reports and Finance teams.
- Administer customer portals/databases as required.
- Participate in regular Coordinator meetings with the Operations Support Manager.
- Organised with a logical, methodical approach.
- Ability to handle frequent changes in direction.
- Strong customer service skills and a proactive working approach with a ‘can do’ attitude.
- Confident communicator at all levels and across all communication media.
- Excellent attention to detail and strong team player.
- Confident in numeric and communication skills.
- GCSEs in Maths and English Language (or equivalent).
- Computer and IT Systems literate with strong Excel and Word skills.
- Previous administrative experience is essential.
