Role Overview
The Team Administrator will provide essential administrative support to the engineering teams and play a key role in the efficiency of the office. This includes assisting with daily administrative tasks and supporting the Executive PA in managing office operations.
Key Responsibilities
- Provide administrative support to the engineering teams, including handling requests, managing busy mailboxes, setting up meetings, diary management, booking travel and accommodation, and processing expenses and timesheets.
- Prepare and format documents such as letters, proposals, presentations, and reports to ensure they align with company branding.
- Maintain up-to-date team CVs for use in tenders and ensure they are uploaded to the intranet.
- Oversee the induction of new staff members in collaboration with the Team Leader and Executive PA.
- Assist with resourcing updates and CPD coordination.
- Help plan and support social events for the MEP teams.
- Provide reception cover as needed, including handling calls, greeting visitors, managing meeting rooms, and overseeing the reception inbox.
- Support meeting room bookings, catering procedures, and assist with credit card statements for directors.
- Offer support to the Executive PA and PA as required.
Key Skills & Experience
Strong IT skills, proficient in MS Outlook, Word, Excel, and PowerPoint.
Ability to prioritize, organize, and delegate when necessary.
Excellent communication skills, both written and verbal.
Ability to maintain confidentiality and show integrity.
Team-oriented with a desire to get involved.
Calm, patient, and flexible approach to work.
Previous experience as a Team Administrator is desirable.
