W H Bence, based in Yate, Bristol, is a leading specialist coachbuilder, crafting innovative mobile medical clinics for the NHS and private health sector, command and control vehicles for emergency services, fire appliances, educational vehicles, and other prestigious projects.

We're currently looking for a part-time Team Secretary to join our team. This flexible role is ideal for someone who thrives in a collaborative environment and excels in organisation and communication.

The preferred working hours are 9:30 am to 2:30 pm, four days a week, though these can be flexible.

Team Secretary - The Role:

The Team Secretary will provide vital administrative support to the Directors, managing diaries, organising meetings, and ensuring smooth day-to-day office operations. Key responsibilities include typing and formatting documents, handling fleet administration, and assisting with general office tasks. The role requires strong organisational and communication skills, along with the ability to manage multiple tasks efficiently.

Team Secretary - Key Responsibilities:

- Providing secretarial support to the Directors and in particular; fast, accurate typing and formatting of communications

- Co-ordinate diaries of several members of management, arranging meetings including catering requirements, preparing meeting rooms and clearing on completion

- Arrange travel and accommodation when necessary

- Engage with other office staff and share general duties such as opening the post, or helping admin during holiday absence

- Fleet administration including tax renewals, insurance, tolls and maintenance of paperwork

- Maintenance of Waste Management paperwork

- Assistance with collating information / coordination of Auditing requirements including updating and displaying of policies and certification

- Updating various schedules as necessary e.g. job lists

- Ordering office supplies and printer/copier consumables as necessary

- Framework invoice reporting

- Assistance with collating information for annual carbon footprint exercise

Team Secretary - About You:

- You will be a competent typist and proficient in document formatting (essential), preferably with audio typing experience

- Advanced experience of Word, Excel, Power Point, Microsoft Outlook and Calendar functions

- Suitable level of education with good written and verbal skills

- Confidentiality when dealing with sensitive information

- Good, flexible, organisational skills

- Ability to work as a part of a team and use own initiative

- Keen to learn or develop the role

Prior experience working as a team secretary or office assistant would also be an advantage.
