Brand-new 1:1 Executive Personal Assistant role to a Board member for a British-owned brand in the luxury retail sector. This is an exciting opportunity and is a hybrid position. Due to their location in North Bristol, public transport may be difficult and use of your own car would be beneficial.

Our client, an award-winning luxury retailer leader are looking for an Executive Personal Assistant to provide 1:1 support to a member of the Board. This is a brand new position for a Board member who has never had Executive Personal Assistant support previously and a chance to make the role your own!

Description

Duties and responsibilities of the Executive Personal Assistant include, but are not limited to:

Provide proactive and comprehensive executive support to the company MD and Senior Management Team

  • Co-ordinate and proactively manage a very busy diary whilst handling and rescheduling, organising of delegates and monitoring acceptances and declines, whilst prioritising and filtering out non-essential meetings
  • Fully prepare and brief the Executive Team Member before meetings including recommendations on a potential course of action
  • Monitoring and managing various actions and projects, including managing and tracking progress of the strategy and highlighting the critical areas
  • Provide proposals and solutions for business operations planning, monitoring, co-ordination and review
  • Create exceptional PowerPoint presentations and dashboards for the Executive Team Member to deliver
  • Collate data and produce reports for Board and Executive meetings
  • Actively represent and act for the Executive Team Member at meetings
  • Write communications in the correct tone and on brand for appropriate audiences (internal and external), whilst including relevant stakeholders
  • Lead and manage specific projects and events whilst providing project support for other business unit projects
  • Ability for flexible working in order to provide ad hoc support on an exceptional basis to the Executive Team Member in the UK and when they are travelling in different time zones, e.g. to support when flights or hotel rooms are cancelled without notice.
  • Make and co-ordinate arrangements for stakeholders for various internal and external meetings on a global basis
  • Manage a high volume inbox by prioritising, responding and taking appropriate action
  • Manage and respond to straightforward correspondence and produce draft replies for more complex issues
  • Manage and coordinate regular and complex travel itineraries including planning, accommodation, visa requirements and expenses.
  • Deal with highly sensitive and confidential information appropriately
  • Plan ahead in order to anticipate busy periods and changing priorities

Profile

The successful candidate for the role of Executive Personal Assistant will possess:

  • Previous experience in a commercially focused role working for an Executive with a global remit
  • Experience of managing a demanding diary and inbox
  • Exceptional communication writing and report writing skills
  • Sensitive and diplomatic management of multiple and high level stakeholders with a high level of confidentiality
  • Previous experience proactively managing busy diaries and acting as "gatekeeper"
  • Excellent analytical skills
  • Project management experience
  • Ability to demonstrate initiative and to suggest improvements to processes
  • Confident self-starter, able to work proactively, think ahead and multi-task in a fast moving environment
  • Exceptional organisational skills and 'can-do' attitude
  • Confidence in decision making and prioritisation of tasks
  • Excellent time management and attention to detail
