Conveyancing AdministratorReports to: Head of ConveyancingDays of Work: Monday - FridayHours of Work: 08:30 - 17:30Salary: £26,000Location: Central BristolJob Overview:Under the supervision of the Head of Conveyancing, you will play a vital role in supporting the Conveyancing Department to deliver outstanding customer service. Your responsibilities will include proactively engaging with clients, providing regular updates throughout their transactions, and fostering strong professional relationships to enhance the client experience. Additionally, you will monitor critical deadlines, assist with case progression, and keep internal systems updated to ensure smooth and efficient case management.The Ideal Candidate:You will be confident in communicating with clients via email, telephone, and in person, tailoring your approach to meet their individual needs. You will be highly organized, capable of managing your workload autonomously, and proactive in keeping clients informed at every stage of the conveyancing process.Main Duties" Acting as the initial contact with clients after an enquiry to confirm interest in the firm's services." Building and maintaining strong client relationships." Providing regular client updates and addressing any concerns to ensure client satisfaction." Monitoring and prioritizing key dates for auction matters and new build sites to ensure clients complete documentation on time." Reminding Fee Earners and clients of important deadlines." Monitoring Land Registry OS1/OS2 searches to ensure timely submission of applications." Keeping track of Land Registry requisitions and allocating them to Fee Earners promptly to avoid cancellations." Updating the Case Management System and maintaining accurate client records." Assisting clients with onboarding and guiding them through completing necessary documentation." Monitoring internal systems to ensure efficient case progression." Collaborating with the Compliance Team, Support Staff, and the wider Conveyancing Department to deliver a seamless service." Adhering to all company policies and procedures.Skills" Law degree or equivalent legal qualification." Desirable: Previous experience in a fast-paced office environment or working with clients." Communication Skills: Ability to communicate effectively and professionally with clients, solicitors, and agents." Written Skills: Strong spelling, grammar, and written communication skills." Attention to Detail: High level of accuracy when preparing legal documents and updating records." Teamwork: Ability to work collaboratively with clients, lawyers, and legal support staff." Discretion: Strong sense of confidentiality and professionalism." Professionalism: Courteous, professional demeanor and the ability to stay calm under pressure." IT Skills: Competence in using electronic systems for case management." Essential: Familiarity with legal terminology, regulations, and HM Land Registry systems (full training will be provided)."
