Your new companyHays is working with a law firm in Central Bristol who are looking for an Archives Officer on a permanent basis. Due to the nature of the role, you will be required in the office full-time. Salary for the role is £25,000. Hours are Monday to Friday, 09:00-17:00. Duties of the role include:

  • Update the records management database with new files and deeds.
  • Coordinate and dispatch file and deed requests to off-site storage vendors.
  • Verify deliveries and maintain accurate order sheets and emails.
  • Handle file and box deliveries to/from fee-earners, ensuring compliance with agreed service levels.
  • Conduct floor walks and liaise with internal clients to ensure timely return of retrieved items to storage.
  • Perform various filing duties and maintain accurate data across relevant platforms.
  • Address discrepancies in box/deed schedules in collaboration with internal teams.
  • Prepare items for storage and produce the necessary labels.
  • Process file and deed retrieval requests via email, phone, and written communication within service-level agreements.
  • Search archive databases for items requiring retrieval.
  • Inspect items returned from storage suppliers for completeness.
  • Manage database checkouts for files before distribution.
  • Monitor and report key performance indicators (KPIs).
  • Verify quantities ordered from preferred storage suppliers.
  • Track delivered items by scanning them into the Records Management system.
  • Respond to all client enquiries regarding storage matters.

What you'll need to succeed

  • Strong proficiency in I.T., demonstrating a solid understanding of relevant systems and tools.
  • Familiarity with internal Records Management systems.
  • Basic knowledge of external Records Management systems.
  • Ability to work autonomously, showcasing initiative and self-direction.
  • A highly organised, methodical, and structured approach to work, ensuring all daily tasks are thoroughly completed.
