Reed have partnered with a national law firm based in Central Bristol, supporting with the hire of a Secretary on a full time, permanent basis.

Duties:

Monitor and manage email traffic for a central inbox covering 10 Fee Earners.

Liaise with secretaries across the Commercial Property division to provide cover for other office locations as necessary.

Produce documents and undertake audio typing.

Draft simple letters and emails.

Manage client files from opening to closing and archiving.

Conduct anti-money laundering checks and collect on-boarding documentation for new client file openings.

Run conflict checks and submit expense claims.

Manage HighQ sites and complete monthly reports for various clients.

Submit commercial searches and manage Docusign Envelopes for document completion.

File SDLT and Land Registry Applications, monitor requisitions, and ensure deadlines are met.

Ensure proper storage of documents and e-filing, including handling incoming post electronically from our central postal hub.

Arrange payments in and out and transfers between accounts.

Serve as the first point of contact for clients and intermediaries, handling communications with professionalism and sensitivity.

Requirements:

Previous experience in a legal environment is preferred, but candidates with at least 12 months’ experience in a secretarial or PA role and a genuine interest in the legal sector are encouraged to apply.

Exceptional organisational skills and the ability to work closely to deadlines with minimal supervision.

Proficient in Microsoft Office packages, including Excel and PowerPoint, and comfortable learning new software.

Excellent spelling and grammar, ideally with experience in audio typing (not essential).

Minimum of 6 GCSEs at grade C or above (or equivalent), including English and Maths.

A proactive, flexible ‘can-do’ attitude, and excellent problem-solving skills.
