The successful candidate will provide high-quality secretarial support to fee earners, ensuring smooth workflow and efficient management of daily tasks. This is a dynamic role that requires excellent organisational, communication, and administrative skills, combined with the ability to work under pressure in a fast-paced legal environment.Key Responsibilities:Organisation:
  • Manage diaries for fee earners, including scheduling meetings and conference calls.
  • Monitor fee earners' emails during their absence, responding and booking meetings or conference calls as necessary.
  • Arrange travel, including booking train tickets and preparing itineraries.
  • Handle telephone enquiries professionally, taking accurate messages and following up on agreed actions.
Document and Correspondence Management:
  • Oversee document workflows, ensuring timely delivery of work, amend and format legal documents and agreements as needed.
  • Handle short copy-typing tasks and digital dictation.
  • Convert PDFs to Word and vice versa.
  • Organise and index legal documentation; set up files as required.
  • Prepare simple PowerPoint presentations.
  • Proofread documents to ensure accuracy and high-quality output.
  • Draft general correspondence as needed.
  • Administrative Support
  • Process fee earner expenses via Chrome River in a timely manner.
Key Skills and Experience:
  • Strong IT skills in Microsoft Word, Outlook, Excel, and PowerPoint.
  • Previous secretarial experience in a busy corporate environment, preferably within legal services.
  • Excellent communication skills, with a professional demeanour when dealing with internal and external stakeholders.
  • Strong organisational skills, able to manage and prioritise tasks efficiently.
