Job Purpose:

Are you a highly organised individual with strong administrative skills? Are you looking for an opportunity to contribute to the efficient operation of a transport service? Our client, a leader in the transportation industry, is seeking a Transport Administrator to join their team. As a Transport Administrator, you will play a crucial role in ensuring that all administrative tasks are carried out accurately and efficiently, allowing our client to comply with all legal requirements for their vehicle fleet.

Responsibilities:

  • Provide effective team support to transport workshops and Area Controllers.
  • Coordinate HGV MOT appointments by making applications to authorised testing facilities and notifying workshops of appointment dates.
  • Maintain accurate records of DVSA vehicle testing certificates.
  • Liaise with external contractors for administration of the LOLER inspection programme for Cranes, Platforms, and lifting equipment.
  • Record inspection results and ensure accurate certificates are maintained.
  • Manage the administration records for the fuel card renewal system.
  • Order and issue fuel cards, ensuring they are allocated correctly.
  • Process orders for gas and diesel for bunkered Network Service fuel.
  • Report any changes to the operating details of vehicles subject to the Operator's Licence to the DVSA.
  • Administer the Driver Behaviour System and installation programme.
  • Conduct audits to verify the accuracy of vehicle job inputs by workshops.
  • Process purchase orders, PPE requests, and invoices through the E5 system.
  • Order long-term hire vehicles as needed.
  • Perform general administration duties, including filing vehicle maintenance documents and test certificates, handling incoming mail, and maintaining transport database records.
  • Assist with monthly KPI reporting.
  • Document all procedures to ensure clarity and consistency.

Candidate Requirements:

  • Strong computer skills for data management and reporting.
  • Excellent numeracy and literacy skills.
  • Basic interpersonal and communication skills for effective written and verbal communication.
  • Exceptional organisational skills and ability to prioritise tasks.
  • GCSE English and Mathematics at grade A*-C/4-9 or Functional Skills Level 2 qualification in both subjects.
