Our new and exclusive Client has an urgent requirement for an Administrator to work as part of this brand new team in state of the art offices in North Bristol. An exciting opportunity for a high-level admin person who enjoys face to face interaction.

DUTIES

  • Coordinate the day-to-day running of the office
  • Assist with the handling of admin issues
  • Ensure high productivity and efficiency of each meeting
  • Routinely monitor and assess performance against targets
  • Continually measure, review and develop systems to ensure the Client experience is exemplary
  • Providing full secretarial and administrative support, including front of house cover to reception.
  • Ensure excellent customer service is provided to all service users in a friendly and reassuring manner including providing procedural advice as appropriate.
  • Maintain excellent patient records ensuring confidentiality, in line with GDPR legislation including adding relevant notes, histories, records.
  • Assist with the billing and credit control
  • Assist with administrative stock ordering
  • Provide full reception duties including diary management, receiving site visitors and managing front of house services
  • Coordinate and arrange onward referrals
  • To assist in general office duties and reception work as required due to absence or annual leave.
  • Coordinate the data management and filing system.
  • Assist with the day to day management of diaries and making appointments
  • Provide secretarial support for attending meetings
  • Oversee coordination of and cover for holidays and other absences
  • Effectively manage own time, workload and resources

Key Skills

  • Excellent communication skills both verbally and written.
  • Ability to work well in a team, must be a team player.
  • Ability to use initiative and work independently
  • At least 2 years in a similar role
  • Secretarial skills.
  • Robust evidence of relevant experience and good references.
  • Attention to detail to maintain
  • Ability to multi-task, remain calm, and problem solve on a daily basis
  • Flexibility to work as required at short notice if applicable
