Reed has partnered with a global leader in the food sector, located on the outskirts of Bristol City Centre, to recruit an Office Admin Manager on a full time, permanent basis.

This role is essential for overseeing the day-to-day operations of the Administration Department, made up of 3 full time and 2 part time staff.

Working hours: 40 hours per week, Monday-Friday – 7:00am – 3:30pm (30 minutes for lunch).

Duties:

  • Manage the Administration Team to ensure an effective and efficient service is provided to the Branch.
  • Oversee/liaise with HR on all employee issues – recruitment, contracts of employment, disciplinaries, grievances, holidays, absence, and personal records.
  • Assist the Branch Manager/Regional Finance Manager in any other areas as appropriate.
  • Maintain a thorough working knowledge of the computerised business systems, maximising Branch profitability through optimal control and information output.
  • Liaise closely with Managers to resolve any queries, concerns, exceptions, or unusual results.
  • Adhere to Company policies, especially in respect of cash handling and control of Branch assets and equipment.
  • Monitor purchase order ledger, ensuring accurate records are maintained and accruals for the month-end pack are recorded. Oversee daily, weekly, and monthly ledger processing.
  • Ensure finance and office procedures are carried out within agreed timescales, with all required documentation, reconciliations, and reviews completed accordingly. Maintain adequate audit controls at all times.
  • Ensure all credit sales accounts have balances within agreed credit limits and that the limits are adequate, current, and fully authorised. Supervise the issue of legal proceedings against unpaid accounts by the Credit Controller.
  • Monitor overhead and non-product purchase invoices and sign off all invoices approved for payment.
  • Lead in the generation and appraisal of commercial initiatives and cost control issues, ensuring value for money is achieved at all times.
  • Utilise management information reports to understand business performance, making best use of Microsoft computer applications such as Excel, Word, and Outlook.

Requirements:

  • Computer literate with a strong understanding of Microsoft Office applications.
  • Knowledge of general office practices with a strong understanding of sales, purchase, and stock ledgers.
  • Experience in team management, ideally within a fast-moving sales environment.
  • Excellent communication skills and customer service focus.
  • Strong commercial awareness, profit-oriented and cost-conscious.
  • Ability to manage and organise a team effectively.
