Reed have partnered with one of the South West largest law practices, supporting with the recruitment of an Office Manager on a full time, permanent basis in Central Bristol.
Interviews before Christmas on offer. Looking for someone to start no later than January 2025 for a full handover with the current job holder who will be leaving in February.
Hours: Monday – Friday, 9.00am – 5.00pm.
Day-to-day of the role:
Directly manage 7-10 admin staff across 2 office locations, based from Bristol (occasional visits to other office location)
Provide HR support including annual leave, sickness and other basic duties for Admin team and indirect reports, Fee Earners (42-43 in total across locations)
Oversee overall management of the office, general accounting, facilities management, and health & safety.
Proactively manage the office in agreement with the Directors, enhancing service quality, reviewing performance, and contributing to the company’s future development.
Represent and support the Directors, their interests, and decisions while maintaining a happy and committed team.
Specific Duties:
Ensure regulatory compliance and efficient administrative practices.
Develop understanding and ensure adherence to the Lexcel standard.
Manage supplier relationships to ensure good value and service.
Handle contracts management and arrange, chair, and document Board Meetings.
Manage complaints and oversee personnel management including recruitment, induction, and retention of staff.
Oversee IT changes and ensure company IT protocols are implemented.
Manage financial aspects including oversight of income streams, payroll, and liaising with accountants for audits and year-end accounts.
Ensure the office environment is safe and efficient, managing facilities and complying with Health & Safety regulations.
Promote and lead equality and diversity within the company.
Required Skills & Qualifications:
Educated to GCSE level or equivalent (essential).
Minimum 2 years’ personnel management experience.
Previous experience managing an office, preferably in a solicitors’ office.
Good knowledge of the SRA Handbook and Solicitors Accounts Rules (desirable).
Experience with compliance requirements and case management software (desirable).
Excellent communication skills and IT proficiency in MS Office.
Strong organisational skills and the ability to meet deadlines.
