Reed are working with a Central Bristol based Travel Business, supporting with the hire of a Travel Operations Administrator on a full time, permanent basis.

This role is perfect for an individual with a strong background in travel operations and a commitment to providing outstanding support to clients. The successful candidate will play a crucial role in securing services for client bookings and producing precise final travel documents, ensuring clients have a seamless travel experience.

Day to Day of the Role:

Confirm travel arrangements such as accommodation, restaurants, activities, excursions, guides, and transportation using various communication methods and reservation systems.

Manage booking queues, reservations, and requests, aligning availability and logistics with client needs to ensure the smooth delivery of high-quality group tours and tailor-made trips.

Generate client and tour leader travel documents, maintaining up-to-date client and product details for flawless documentation.

Foster strong relationships with suppliers and external partners to ensure the successful delivery of trips.

Input reservation details into our system for smooth information flow to Travel Consultants and accurate Info Packs for clients.

Record service costs accurately for efficient financial processing.

Prepare final travel documents with welcome letters for clients, ensuring a professional presentation.

Support Sales teams with queries, issues, and requests, and conduct quality control of Group Tour bookings.

About you:

A passion for Japan/Asia as travel destinations and a desire to assist others in discovering these regions.

A strong geographical and logistical understanding of Japan and core destinations.

Experience in confirming a wide range of travel arrangements.

Excellent problem-solving skills with the ability to confidently use initiative.

Organised and capable of handling a volume of complex tasks simultaneously.

High productivity and accuracy, sometimes under tight time pressures.

Excellent communication and interpersonal skills across various platforms.

Proficiency in MS Office (Excel, Word, PowerPoint, Outlook, Teams, and SharePoint).

Advanced level of English, both written and spoken.

Japanese language skills are a bonus but not essential.
