Reed Accountancy are currently partnered with a Burgess Hill client who are looking for an enthusiastic Accounts Payable Administrator to join their established and successful company. This role is crucial for providing invoice, expenses, payment processing, and related services for the entire group, as well as general administrative support to the UK Finance Department. The successful candidate will be part of a small and highly productive finance team, reporting to the Group Financial Controller.

Day to Day of the role:

  • Process invoices and expense claims in multiple currencies for the group in an accurate and timely manner.
  • Post and track invoices through multiple approval stages in time for monthly payment runs using a web-based invoice approval system.
  • Keep ledgers up to date to enable timely monthly payments and ensure accurate information for management accounts.
  • Address supplier enquiries and reconcile supplier accounts to statements, escalating any disparities if necessary.
  • Liaise with internal departments to resolve invoice queries both in the UK and overseas.
  • Prepare and allocate payments to suppliers for both normal monthly payment runs and any necessary ad hoc payments.
  • Administer supplier bank guarantees in liaison with the CFO.
  • Reconcile and post company credit card expenditure on a monthly basis.
  • Review job invoices against Purchase Orders to ensure compliance with milestones, rate, and other payment conditions.
  • Maintain purchase ledgers with rigour and resolve/report old balances and items of concern.
  • Electronically file documents and maintain organised communication records.
  • Provide general administrative support to the UK Finance Department.

Required Skills & Qualifications:

  • Good knowledge of Microsoft Excel.
  • Excellent attention to detail and accuracy.
  • Familiar with ledgers and accounting systems.
  • Experience with multi-currency and overseas trading is advantageous.
  • Familiarity with internet banking payment systems.
  • Ability to prioritise workload effectively.
  • Able to work on own initiative.
