We are seeking a dedicated and detail-oriented individual to join our clients team as Financial Planning Administrative Support. In this role, you will provide essential administrative support to Financial Planners and Directors, ensuring they have timely and accurate information for client meetings. You'll play a key role in maintaining client records, adhering to internal processes, and contributing to the development of junior team members.

Key Responsibilities:

  • Generate and compile documents for accurate client review packs.
  • Provide timely information, coordinating with providers and third parties as necessary.
  • Maintain an organized audit trail for all client records, ensuring documents are properly saved and named.
  • Keep Financial Planners and team members updated on progress; escalate concerns or complaints as needed.
  • Conduct weekly review meetings with Financial Planners to discuss priorities and address issues.
  • Support client meetings by presenting sections such as cashflow analysis
  • Perform pre and post-meeting reviews, delegate tasks, and ensure timely completion of meeting notes and actions.
  • Mentor junior team members, fostering their growth and efficiency.
  • Handle due diligence for new business, including generating platform calculators and addressing any queries.
  • Draft template suitability letters, filling in client details and plan elements, and consulting with senior team members when needed.
  • Collaborate with Financial Planners to manage cash weightings weekly.
  • Regularly update and maintain the IO system in consultation with Financial Planners.
  • Process client instructions using established advice flows and checklists.

Essential Qualifications and Experience:

  • Progress towards the Diploma in Financial Planning, or the desire to do so.
  • Proven experience in providing accurate and timely financial services administrative support
  • Proficiency in writing suitability letters is desirable
  • Experience in managing client complaints.
  • Ability to identify and implement areas for improvement.
